Refund and Cancellation Policy

This Refund and Cancellation Policy outlines the terms under which GARV AI LABS ("we," "our," or "us") handles cancellations and refund requests for our AI consulting, development, and digital transformation services. We strive to ensure client satisfaction and handle all requests fairly and promptly.
2. Service Engagement Model
Our services are typically structured as:
- Project-Based Engagements: Fixed-scope projects with defined deliverables and milestones.
- Retainer Agreements: Ongoing monthly or quarterly engagements for continuous support, consulting, or development.
- Consulting Sessions: One-time or recurring advisory sessions billed on an hourly or per-session basis.
Specific cancellation and refund terms may vary based on the type of engagement and are outlined in your individual service agreement. This policy sets the general guidelines that apply in the absence of specific contractual terms.
3. Cancellation Policy
3.1 Project-Based Engagements
- Cancellations requested before work has commenced will receive a full refund of any advance payment, minus a 5% administrative fee.
- Cancellations after work has commenced will be billed for work completed up to the cancellation date, based on the agreed hourly rate or milestone value.
- Completed and delivered milestones are non-refundable.
3.2 Retainer Agreements
- Retainer agreements require a minimum 30-day written notice before cancellation.
- The current billing period is non-refundable once it has commenced.
- Any unused hours or services from a current billing period are non-refundable and do not carry forward.
- Early termination of multi-month retainers may be subject to an early termination fee as specified in your contract.
3.3 Consulting Sessions
- Cancellations made 48 hours or more before a scheduled session will receive a full refund or rescheduling option.
- Cancellations made less than 48 hours before a session will be charged 50% of the session fee.
- No-shows will be charged 100% of the session fee.
4. Refund Policy
4.1 Eligibility for Refunds
Refunds may be considered in the following circumstances:
- The service was not delivered as specified in the agreed scope of work.
- A cancellation was requested before commencement of work.
- GARV AI LABS is unable to fulfill the agreed deliverables due to our own inability.
- Technical failures directly attributable to GARV AI LABS that prevent service delivery.
4.2 Non-Refundable Items
- Work already completed and delivered as per the agreed scope.
- Third-party costs incurred on your behalf (cloud services, licenses, APIs, etc.).
- Administrative and setup fees.
- Services where the outcome did not meet expectations due to incomplete or incorrect information provided by the client.
- Consulting advice and strategic recommendations once delivered.
5. Refund Process
- All refund requests must be submitted in writing to garvailabs@gmail.com within 14 days of the event giving rise to the refund claim.
- Include your full name, company name, service details, and reason for the refund request.
- We will acknowledge your request within 2 business days and provide a decision within 7 business days.
- Approved refunds will be processed within 5–10 business days to the original payment method.
- International transfers may take additional time depending on banking processes.
6. Disputes
If you are dissatisfied with our decision on a refund request, we encourage you to contact us to discuss the matter further. We are committed to resolving disputes fairly and amicably. If an agreement cannot be reached, disputes shall be handled in accordance with the Governing Law provisions in our Terms and Conditions.
7. Changes to This Policy
We reserve the right to update this Refund and Cancellation Policy at any time. Changes will be posted on our website and will apply to engagements entered into after the updated effective date. Existing contracts will be governed by the policy in effect at the time of signing.
